Selling food at occasional events

Event organisers

  • Fundraising food stall

*Food sold at occasional events, food festivals etc that is not for fundraising purposes is subject to food safety legislation.

Event organisers

As an event organiser you are responsible for ensuring all stalls selling food hold the correct approvals where necessary. The process for this has changed recently so it’s important that you understand exactly what is required from each type of operator attending your event. The information below under each type of operator will explain what is required.

You will need to provide Environmental Health with a full list of food stalls, including mobile traders and fundraisers prior to your event. It is also your responsibility to collect any Food at Events application forms and fees, where applicable, and forward them to us at least two weeks before your event. This will give us enough time to process them for approval. Approved applications will be signed and returned to you to re-distribute back to the operator. This becomes their permit to trade at your event.

Fundraisers

Stall holders

If you are selling food for fundraising purposes you do not need any permits or approvals from us unless you are doing such more than 20 times a year.

Event organisers

Ensure you are satisfied the operator is actually ‘fundraising’ for a genuine purpose. No further input required.

Mobile Traders

Stall holders

You must provide the event organiser with a copy of your Mobile Trading Licence and Food Act registration (FCP or NP).

Event organisers

 Witness a copy of the operators Mobile Trading Licence and Food Act registration and ensure they are current. No application forms or fees required.

Food business operating a Food Control Plan (FCP)

Stall holders

Food businesses operating a FCP are permitted to sell food ‘off-site’ such as at events. You must still complete the requirements under the FCP in terms of managing the risks and keeping records for each event, and this may be checked at your verification visit.

Event organisers

Ensure the food operator holds a FCP by witnessing a copy of the operators Food Act registration. No application form or fees required.

Food business operating a National Programme (NP)

Stall holder

If you hold a National Programme (NP) registration you will be required to complete a Food at Events application form and return such to the event organiser with the required fee at least two weeks before the event. Once approved by Environmental Health, the signed application form will be returned to you and becomes your permit for this event. The permit must be held at the food stall as we may carry out an inspection of each stall on the day of the event.

Event organisers

Ensure NP stall holders are provided with and return to you, a Food at Events application form and associated fees at least two week prior to the event. Once approved, these will be returned to you to re-distribute back to the food operators.
